Job Description

Key Responsibilities:

Sales Tax Compliance & Certificate Management

  • Manage, collect, review, and validate customer sales tax exemption certificates.
  • Maintain accurate records of exemption certificates and ensure ongoing compliance.
  • Contact customers regarding expired, incomplete, or outdated exemption certificates and obtain updated documentation.
  • Research and resolve tax discrepancies, notices, and compliance issues.
  • Respond to state and local tax inquiries and notices in a timely manner.
  • Collaborate with Accounting, Sales, and Customer Service teams to ensure accurate customer tax setup and maintenance.

Sales Tax Research

  • Research sales and use tax regulations across multiple jurisdictions.
  • Analyze product taxability and tax treatment in states where the company has nexus.
  • Ensure ERP systems are configured appropriately to calculate taxes accurately.
  • Maintain supporting documentation and tax research to support company tax positions.
  • Stay current on changes to tax laws and compliance requirements.

Audit Support

  • Support sales and use tax audits from inception through completion.
  • Gather, organize, and maintain exemption certificates and audit documentation.
  • Create and maintain digital audit libraries.
  • Coordinate with customers to obtain updated certificates as needed.
  • Review auditor feedback and address rejected or missing documentation.
  • Provide requested information and support to auditors and tax authorities.

Accounting Support

  • Assist with accounting-related projects and departmental initiatives.
  • Support reporting, reconciliations, and compliance efforts as assigned.
  • Maintain accurate records and documentation related to tax compliance activities.
  • Perform additional duties and special projects as needed.

Qualifications:

Education

  • Associate's degree in Accounting, Finance, or a related field required
  • Bachelor's degree preferred

Experience

  • Minimum 5 years of accounting experience
  • At least 3 years focused on sales and use tax compliance
  • Experience supporting multi-jurisdictional tax reporting and audits

Skills & Technical Knowledge

  • Strong understanding of multi-state sales and use tax laws, exemption rules, and audit procedures
  • Experience working with ERP systems such as SAP, Oracle, NetSuite, or similar platforms
  • Experience with tax compliance software such as Avalara, Vertex, TaxJar, or comparable systems
  • Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUPs, and large data-set analysis
  • Strong understanding of accounting principles, reconciliations, and financial reporting
  • Ability to research and resolve complex tax issues independently
  • Excellent analytical, organizational, and problem-solving skills
  • Strong written and verbal communication skills
  • Ability to effectively manage multiple competing priorities and deadlines
  • Ability to collaborate cross-functionally with Accounting, Sales, Customer Service, and external agencies
  • High level of integrity and commitment to maintaining confidentiality
